Campus to Remain Closed on February 20

Due to lingering hazardous driving conditions on rural and side roads from the recent winter precipitation, Arkansas State University's academic and business offices will remain closed on Thursday, Feb. 20.  Subfreezing temperatures forecasted for tonight are expected to further impact road safety.  

The well-being of our Red Wolves pack is our number one priority, and we encourage everyone to exercise caution and remain mindful of the conditions.

Currently, we anticipate returning to normal operations on Friday, Feb. 21.

Revised Facility Hours:

  • Dining Services will open the Acansa Dining Hall from 10:30 a.m. until 7 p.m.  Howl's Grill, Starbucks, and other retail locations will be open from 8 a.m. until 5 p.m. as staffing allows.

  • The Dean B. Ellis Library will be open from 11 a.m. until 4 p.m. 

  • The Reng Student Union will be open from 8 a.m. until 8 p.m.

  • The Red WOLF Center will be open from 11 a.m. until 4 p.m. 

Event Updates and Rescheduling:

  • If your department or organization has a scheduled event impacted by the recent inclement weather, email calendar@AState.edu to update the centralized campus calendar.

All campus residents are reminded to monitor official university media, including official social media accounts for updates.

Like saving files to your computer or other local drives, Cloud Storage allows you to store files on remote drives connected to the internet. Making it easy to access your materials from any device with an internet connection. Other benefits include the ability to collaborate in real-time with colleagues on the same files and ensuring your files are backed up if something happens to your local copies. On this page, you will find more information about some of the cloud storage solutions available through the Information and Technology Services office.


    University Data Storage Policy

    To ensure secure and reliable data management, this webpage outlines the guidelines for utilizing cloud storage and local storage at A-State, with a focus on the use of Microsoft OneDrive as the approved platform for confidential and internal data.

    Definitions

    • Cloud Storage: Storing data over the internet through a service provider, offering flexibility and redundancy.
    • Local Storage: Data saved directly on a machine or external device without automatic backups.

    The following table outlines the data classification and proper handling of AState data.

    *Restricted Data—Any data that contains personally identifiable information concerning any individual and is regulated by local, state, or Federal privacy regulations. This includes data such as grades, social security numbers, classified research, etc.

    **Limited Data—Any data that is not classified as AState Restricted Data, but which is information that AState would not distribute to the general public. Academic research falls in the category.

    ***Public Data—Any data that AState is comfortable distributing to the general public

    Cloud Storage vs. Local Storage

    • Cloud Storage: These services provide a secure and backed-up environment. Data stored in the cloud is protected by multiple layers of security and redundancy.
    • Local Storage: Data saved on a local machine or external device is not backed up by A-State. In the event of hardware failure, this data can be lost permanently. Therefore, local storage should not be used for critical A-State data.

    Approved Services

    • Microsoft OneDrive: The primary, approved cloud storage solution for storing confidential and internal data. OneDrive meets A-State’s security standards, ensuring data is protected and accessible from authorized devices
      • Each user is allocated a default storage quota on OneDrive. Users who require additional storage beyond this standard limit can contact security@astate.edu to begin the approval process for an increased storage allowance.
    • Kaltura: For large media files, such as video, Kaltura is the recommended platform, optimized for high-volume storage and streaming of multimedia content.
    • Canvas LMS: Canvas offers an integrated solution for storing academic materials, designed specifically for educational content.
    • Dropbox: Limited support is available for Dropbox, and specific use cases must be reviewed and approved by security@astate.edu prior to Dropbox use. All existing users of Dropbox with institutional accounts should aim to migrate content to OneDrive if feasible.

  • Network Drives

    The university can provide access to folders on the A-State network that you and your collogues can use to share department files. To request a Departmental Network File Share, complete this form and email it to its_systems@astate.edu

    You can then map that network folder so that you can access it from your office workstation or remotely through the A-State Global Protect VPN (virtual private network).

  • Dropbox

    NOTE: Arkansas State University is in the process of migrating away from Dropbox for all non-research-related purposes. If you are not a member of a research team, we ask that you start the process of migrating the data you have in Dropbox to your A-State OneDrive account.

    Access any file you save to your Dropbox from your computer, iPhone, iPad, and even the web. The Dropbox Education integration allows instructors and students to easily link to and upload their Dropbox content into their Canvas courses.

    • Seamlessly authenticate to Dropbox accounts through Canvas
    • Access your Dropbox learning content from any device
    • Instructors can upload content from Dropbox using the mashup functionality
    • Students can upload assignments from Dropbox using any device.

    Usage Guidelines

    • Dropbox Education accounts are available for only Full-time Faculty.
    • Dropbox Education accounts are to be used to store data for collaboration. Accounts should not be used as primary storage locations or for the archival/backup of data.
    • Dropbox Education accounts are to be used for the storage of University data only. No personal data should be stored in Dropbox Education accounts.
    • Dropbox Education account holders are responsible for making sure all data stored in Dropbox Education accounts comply with all University data retention and storage policies and procedures.
    • Dropbox Education account holders are responsible for making sure appropriate access is granted to only authorized individuals when sharing files.

    • Microsoft OneDrive

      NOTE: All purchases of apps/add-ins (free or paid) from the Microsoft Store, Office Store, or Teams Store are non-transferable and are permanently tied to your A-State account. If you leave the university, you will lose access to any app/add-in that you purchased (whether with university or personal funds). 

      The university provides a Microsoft 365 subscription as part of the Campus License Agreement. See the instructions in the following link to see what licenses are currently assigned to your A-State account.

      As part of the Microsoft 365 subscription, Microsoft OneDrive lets you keep your files, photos, and videos automatically backed up and available on all your devices.
